👥 Users — Access Management

🧭 Overview

The Users page allows you to manage staff accounts and control access to:

  • the Administration Panel

  • the Android POS application

Each user has specific permissions based on their role and assigned capabilities.

🔐 Default Administrator Account

By default, an Administrator account is created for each establishment.

This account:

  • has full system privileges

  • has complete access to the Administration Panel

  • can log in to the Android application if a PIN code is assigned

  • is unique per establishment

The Administrator account is essential for the initial setup and overall system management.

➕ Creating a User

When creating a new user, only the following fields are required:

  • Username

  • Password

  • PIN Code

  • User Type

💡

Advanced settings (capabilities, printers, terminals, etc.) are not required at this stage and can be configured after the user is created.

👤 User Types

Four user types are available:

🛠️ Administrator

  • Full access to all features

  • Only one administrator per establishment

  • Access to the Administration Panel

  • Access to the Android POS if a PIN code is assigned

🍽️ Waiter

Represents a standard employee (e.g., waiter).

  • Logs in to the Android POS application using a PIN code

  • Uses an existing terminal (Register or Main)

📟 Register

Terminal account assigned to a tablet.

  • Waiters log in using their personal PIN

  • Multiple Register terminals can be created per establishment

🧠 Main

Unique central terminal for each establishment.

Manages:

  • print distribution

  • communication with printers

Recommended for single-terminal setups.

💡

  • Use Main for a simple single-terminal installation.

  • Use Main + Register for a multi-terminal setup.

✏️ Editing a User

Once a user has been created, additional options become available in the edit view.

⚙️ Advanced Settings

Payment Terminal

  • Assign a terminal for card payments

Terminal IP Address

  • Define the IP address of the assigned terminal

Terminal ID

  • Identifier required for certain terminal types

User Printer

  • Available for Main or Register users

  • Enables receipt and order printing

Capabilities

  • Granular assignment of access rights through a dropdown menu

💡

These settings are not available during user creation and can only be configured after the user has been saved.

🧩 Capability Management

Each user can be assigned specific capabilities, allowing precise control over access to system features.

Capabilities are grouped into categories:

🛡️ Admin Capabilities

Control access to the Administration Panel and system configuration.

Admin Login

Allows a Waiter-type user to access the Administration Panel.

⚠️

This option is mandatory to grant admin access to non-administrator users.

Available permissions:

  • Login – Allow a non-admin account to log in to the Administration Panel

  • Products – Product management

  • Product Groups – Category management

  • Tables – Table management

  • Printers – Printer configuration

  • Customers – Customer management

  • Promotions – (Not available in SCE Certification v1)

  • Invoices – (Not available in SCE Certification v1)

General App

  • Force Shift Closure – Allow shift closure from the tablet

  • Account Search – Search accounts in ticket history from the app

  • Payments Correct

  • View Own Accounts Only – Restrict access to a single user's accounts

  • Cancel Ordered Products – Cancel products that have already been sent

  • Refund – Refund an item after payment

📊 Analytics Capabilities

Access to data, history, and statistics:

  • Dashboard

  • Dashboard Groups – Restrict dashboard statistics to specific groups assigned to a user

  • Accounts – Account history

  • Services – Service history

  • Orders – Order consultation

  • Stock – Stock overview

  • View Own Accounts Only – Restrict dashboard statistics to a single user's activity

💳 Payment Capabilities

Manage authorized payment methods:

  • Error – Error option on the payment screen

  • Bank Transfer – Bank transfer option on the payment page

  • Complimentary – Complimentary payment option

  • Customer Credit – Credit payment option

  • Forced Payment – Force a payment without sending it to a terminal or cash handler

Invoicing

  • Full Access – Full access to Posbel invoicing in the Administration Panel

  • Send – Send invoices to customers

  • View – View customer invoices

  • Mark/View – Mark and review invoices sent to customers

🖥️ Kiosk Capabilities

Control the options available on self-ordering kiosks:

  • Disable Card Payments – Card payment disabled on the kiosk

  • Disable Cash Payments – Cash payment at the cashier disabled on the kiosk

  • Disable Dine-In – Customers cannot eat on-site

  • Disable Takeaway – Customers cannot place takeaway orders

These options allow payment and ordering methods to be precisely adapted to the kiosk's operating context.
